AZERBAIJAN TOURISM LLC – BOOKING TERMS AND CONDITIONS
Updated: Friday, 27 February 2025
These terms and conditions constitute the sole agreement between Azerbaijan Tourism LLC (hereinafter referred to as “the Company”) and the clients listed on the booking form, which must be signed by an authorized representative on behalf of the entire group (hereinafter referred to as “client” or “clients”). By booking a trip with us, you agree to these Booking Terms and Conditions, which form the entirety of the contract between you and the Company. Your booking is accepted based on these terms, and the services provided will be as outlined in your booking confirmation invoice.
To confirm your booking, a non-refundable deposit of 30% of the total booking value per person per trip is required. For bookings made within 50 days of the departure date, full payment is required at the time of booking. Please note that some tours may require different deposit amounts.
Upon accepting your booking, the Company will issue a confirmation invoice, and a contract will be established from that date. For bookings made within 15 days of departure, the contract is established upon receipt of payment. Please refer to your booking confirmation invoice for details on final payment deadlines. The remaining balance must be paid no later than 50 days before the departure date. Failure to make payment by the due date may result in the cancellation of your booking.
Our trip prices are subject to variable and seasonal pricing, which is standard within the travel industry. This means prices may fluctuate based on demand, market conditions, and availability. Pricing differences between passengers on the same trip are possible. To lock in a quoted price, the required deposit must be paid before the quote’s expiry date. Discounts or reduced prices introduced after your booking will not apply retroactively. Cancellation fees apply if you cancel your booking to take advantage of a lower price. Updated pricing is available on our website. A surcharge may apply to payments made via bank wire transfer.
Special requests, including dietary requirements, must be submitted in writing no later than 30 days before departure. While the Company will make every effort to accommodate these requests, we cannot guarantee fulfillment.
To confirm your travel arrangements, you must provide complete details when paying the trip balance. These details include, but are not limited to, your full name as it appears on your passport, date of birth, nationality, passport number, passport issue and expiry dates, and any pre-existing medical conditions that may affect your travel. Failure to provide this information may result in the cancellation of your trip, with applicable cancellation fees.
If you cancel some or all parts of your booking, cancellation fees will apply:
No refunds will be provided for unused services, missed departures, or early trip termination. Additional cancellation fees may apply from accommodation providers or transport operators.
The Company reserves the right to cancel a trip up to 50 days before departure. A trip may also be canceled at any time if external factors such as terrorism, natural disasters, or political instability make it impossible to operate the itinerary. In such cases, you may choose to transfer to an alternative departure or receive a refund minus unrecoverable costs. The Company is not responsible for incidental expenses, including visas, vaccinations, travel insurance, or non-refundable flights.
The Company is not liable for changes or cancellations caused by unforeseen circumstances beyond its control, such as war, riots, industrial disputes, terrorist activity, natural disasters, epidemics, pandemics, or adverse weather conditions.
To transfer your booking to another trip or a third party, you must notify us at least 50 days before departure. A fee of 10% of the total booking value per person, plus any additional costs from service providers, will apply. For changes requested within 50 days of departure, standard cancellation fees apply. No amendments are permitted within 30 days of departure.
Please refer to the specific tour description on our website for details on inclusions and exclusions.
Consult a medical professional for travel health advice at least two months before departure.
Our trips operate with a minimum of two and a maximum of 24 travelers unless otherwise stated. Contact us for group size details before booking.
Group leaders manage all group trips. Their decisions regarding safety and well-being are final. Non-compliance may result in removal from the trip without refund. All travelers must adhere to local laws and customs and our responsible travel guidelines.
If you have a complaint during your trip, notify your group leader or local representative immediately. If unresolved, submit a written complaint within 10 days of the trip’s conclusion.
By participating in a trip, you consent to the use of your images for promotional purposes. You grant the Company a perpetual, royalty-free, worldwide license to use such images.
